Data protection declaration according to EU data protection regulation (DSGVO)

The protection and security of your personal data entrusted to us is of particular concern to us. We are therefore pleased to inform you which personal data is collected, stored, used and deleted when you visit our Internet pages and contact us in accordance with the EU Data Protection Basic Regulation (DSGVO). The VDI (Association of German Engineers District) Association Munich, Upper Bavaria and Lower Bavaria (hereinafter referred to as VDI Munich) is a regional division of the Association of German Engineers (VDI). With its approximately 12,000 members, the district association is the link between the VDI as a whole and the individual members on the local level.

According to the statute of the VDI Munich, the main purposes of the association are information and communication on technical-scientific as well as engineering-specific and interdisciplinary topics and problems. In addition to the professional component for the promotion of engineering and the declared goal of changing the world positively, the social component is a central element of the VDI Munich. With more than 300 events per year, the VDI Munich promotes the exchange of experiences from science and practice, personal networking and also offers orientation to the engineers of tomorrow.

The addressing of members, interested parties, companies as supporting members as well as cooperation partners by VDI Munich is done in fulfillment of its statutory purposes (information, communication, network).

The district association VDI Munich processes your personal data for the following purposes

a) Answering your questions about VDI Munich, its events and topics

b) Distribution of the approximately 28 newsletter of our working groups and district groups, invitations to events and information of the VDI Munich, as well as invitations for new members and to general meetings

c) General member administration and member surveys for the implementation of the purposes of the statutes

d) Provision of services subject to a charge

If the processing of personal data is based on Article 6 I lit. f DSGVO, our legitimate interest is to carry out our business activities for the benefit of the well-being of all our members.

2. collection of personal data

Collection of personal data - directly when calling up this website:

The IP address assigned to your end device - computer, smartphone or similar - is recorded in order to transmit the contents of our website you have called up to your end device, e.g. texts, images and files made available for download (cf. Art. 6 Para. 1 lit. b DSGVO).

When you visit this website, the server automatically saves further data transmitted by your browser whenever you visit a website. In addition to the IP address, these server logs (server log files) also contain your web request, browser type, browser language, date and time of your request, as well as one or more cookies by which your browser can be uniquely identified. Our legitimate interest in data processing is to ensure the proper functioning of our website and the inquiries sent to us via it (downloads, contact inquiries, product inquiries, subscription/unsubscription to our newsletter) (cf. Art. 6 para. 1 lit. f DSGVO).

Your IP address, as well as other data, is not accessible to us, but is collected exclusively by our service provider for the purpose of providing services.

Web analysis service Piwik

Our website uses the web analysis service Piwik. Piwik uses "cookies", which are text files placed on your computer, to help the website analyze how users use the site. For this purpose, the usage information generated by the cookie (including your abbreviated IP address) is transferred to our server and stored for usage analysis purposes, which helps us to optimize our website. Your IP address is immediately made anonymous during this process, so that you as a user remain anonymous to us. The information generated by the cookie about your use of this website is not passed on to third parties. You can prevent the use of cookies by adjusting your browser software accordingly. This website does not use Google Analytics, the web analysis service of Google Inc. ("Google"). The buttons are marked with the logo of the respective social network. With the help of these buttons/links, our website refers to social networks where users of our website can also inform and exchange information on our topics in social network groups. Such links are recognizable as links.

These are not functional social plugins, but pure links. As soon as you click on such a link, you leave our website and at the same time declare your consent to communicate with the servers of the social network with which the connection is established. After clicking on the link to the external social network, we no longer have any influence on the data and data processing procedures collected and are not responsible for this data processing, nor are we responsible in this respect within the meaning of the DSGVO.

We are also not aware of the full extent of the data collection, its legal basis, the purposes and the storage periods. The information provided here is therefore not necessarily complete. The transmission of the data takes place regardless of whether you actually have an account with the provider or are logged in there. If you are logged in with the provider, your data will be assigned directly to your account. Where applicable, the provider may also use cookies on your computer to track your web activities.

To the best of our knowledge, the provider stores this data in user profiles which he uses for the purposes of advertising, market research and/or demand-oriented design of his website. Such an evaluation is carried out in particular (also for users who are not logged in) for the purpose of presenting advertising that meets the needs of the users. You have the right to object to the creation of these user profiles.

3. use of personal data

Only those data are used which were made available to us for the respective purpose. Here structured according to the purposes mentioned in point 1:

a) If you contact us with regard to questions of any kind, you give us your voluntary consent for the purpose of contacting us. For this purpose, the indication of valid contact data is required. This serves the purpose of assigning the inquiry and the subsequent answering of the same. The indication of further data is optional. The information you provide will be stored for the purpose of processing your enquiry and for possible follow-up questions. After completion of your inquiry, personal data will be deleted at the latest two years after cancellation. And of course we will gladly use your information to improve our website.

b) If you have registered for our newsletter, you will receive our mailings to the e-mail address you have provided until revoked.

c) For general member administration and for sporadic member surveys. We neither sell your data to third parties nor do we market them.

d) The personal data that has been transmitted for the provision of services is not used by VDI Munich, but by our financial service provider (see 2. d)

4. storage of personal data

The website-related data is temporarily stored with a carefully selected service provider located in Germany, where our website and newsletter mail system is hosted. We have concluded a contract with this processor, which is certified according to ISO 27000, in accordance with the DSGVO (see Art. 28 DSGVO). 

If you enter your personal data via the web-based forms or send them to us by e-mail, we store the messages we receive on our in-house systems in order to process your inquiries or answer your questions. We also use the same procedure for data provided by telephone or in person. 

If your inquiries lead to the fact that you want to receive our newsletter, then your data - title, name, email address - will be stored in our internal IT systems for general member administration and for the implementation of the purposes of the statutes. Of course we also adhere to the legal rention periods.

We store the data provided by you in our CRM system (data management system for general member administration). This is where the data is stored in a differentiated manner. This also includes the consent confirmed by so-called double opt-in to receive our info mail or to unsubscribe from it.

5. deletion of personal data

We may are only allowed to delete documents containing your personal data after the statutory retention periods have expired.

All personal data of members are deleted five years after deregistration. Personal data of interested parties will be deleted 2 years after unsubscription from our newsletters

6. other data uses and data deletion

Further processing or use of your personal data will generally only take place if a legal provision permits this or if you have consented to the processing or use of your data. In the event of further processing for purposes other than those for which the data were originally collected, we will inform you about these other purposes before processing and provide you with further relevant information.

7. technical and organisational activities

Of course, we have set up a comprehensive IT security concept for our in-house information and communication technology in terms of access, entry and access in order to safeguard the confidentiality, integrity and availability of data. Our employees are sensitized to handle your personal data very carefully.

In certain cases, e.g. use of the web service in connection with Google services or newsletter services, personal data may be transferred to third countries. In such cases, we always ensure that appropriate guarantees are in place to protect your data. In individual cases, you can obtain the relevant proof from our data protection coordinator.

Insofar as we involve contract processors to fulfil our performance obligations and performance interests, the DSGVO requirements are also comprehensively taken into account in the agreements.  As the responsible party, we comply with the required information and documentation obligations. The effectiveness of our security measures is regularly reviewed and the measures are continuously improved in line with technological developments.

8. informing data subjects in the event of a data breach

If, despite all due care, a data breach occurs, we will inform you immediately if you are affected (cf. Art. 33-34 DSGVO).

9. your extensive rights (cf. Art. 15 to 21 DSGVO)

You can exercise the following rights at any time by contacting our data protection coordinator:

  • Information about your data stored with us and its processing after presentation of your membership card or mentioning your date of birth,
  • Correcting incorrect personal data,
  • Deletion of your data stored with us,
  • Restriction of data processing, provided that we are not yet allowed to delete your data due to legal obligations,
  • Objection to the processing of your data by us 
  • Objection to the Data transferability, if you have consented to data processing or have concluded a contract with us.

If you have given us your consent, you can revoke it at any time with effect for the future.

You may at any time submit a complaint to the supervisory authority responsible for you. Your competent supervisory authority depends on the federal state of your residence, your work or the presumed violation.
